Slow Office Wi-Fi: Diagnosing Business Network Problems

I've spent nearly three decades in IT, a good chunk of it walking into Sacramento offices where "the internet is slow" turned out to mean something very different once we actually measured it. Here's how to narrow it down yourself before you spend a dollar.
Is it the internet, or is it your network?
Run a speed test from a laptop plugged directly into your modem or firewall with an Ethernet cable, then run the same test on Wi-Fi from a normal desk. If wired is fast and wireless is slow, your problem is inside the building — equipment, placement, or interference. If both are slow, look at your ISP plan or the connection itself. This five-minute test cuts the problem space in half.
A few tips to make the test honest:
- Test at a busy time (mid-morning Tuesday, not 7 a.m.). Undersized connections look fine when nobody's using them.
- Test from multiple locations — the back office by the break room often tells a different story than the desk next to the router.
- Compare against what you're paying for. Plenty of offices are still on the 100 Mbps plan they ordered when they had six employees.

Two patterns deserve special mention because they fool people:
The "speed test looks fine" trap. Speed tests measure one moment, one device, one direction. Your VoIP phones and Zoom calls care about consistency — latency and jitter — which a speed test barely shows. An office can pass every speed test and still have miserable video calls.
The daisy-chain special. Over the years, someone added a $20 desktop switch under a desk, then another, then another. Now traffic from half the office funnels through a plastic box behind a filing cabinet. This is astonishingly common in offices that grew from 8 people to 30 without anyone touching the network design.
Why does consumer equipment fail in an office?
Because it was engineered for a family, not a payroll. A home router assumes a handful of devices, forgiving users, and no cost to downtime. An office puts 40–80 devices on it, runs phones and video calls through it, and loses real money when it chokes. The hardware isn't defective — it's simply the wrong tool, like hauling gravel in a hatchback.

- Client capacity: business access points are typically rated for 30–60 active clients; consumer units degrade far earlier.

- Traffic separation: guest Wi-Fi that can't touch your company files, and phones prioritized over someone's YouTube tab.
- Visibility: when something breaks, business gear tells you what and where. Consumer gear gives you a blinking light and a prayer.
As market pricing, business-grade access points generally run in the $150–$600 range each, and a full network refresh for a small office — firewall, switch, two to four APs, installation — commonly lands in the low-to-mid four figures depending on building size and cabling. What can you try yourself before calling anyone?
Work through the cheap, fast checks first: reboot the network gear properly, run the wired-vs-wireless test, move a struggling user closer to the access point, and count your devices honestly. These steps either fix the problem or — just as valuably — produce the evidence that tells a professional exactly where to look.
- Power-cycle in order: modem first, wait two minutes, then firewall/router, then switches, then access points.

- Check your ISP plan against a rough rule of thumb: for a cloud-heavy office, plan for roughly 5–10 Mbps per active user as a starting point. Twenty-five people on a 100 Mbps plan is tight.
- Try a known-good DNS server (like 1.1.1.1 or 8.8.8.8) on one test machine. If pages suddenly snap to life, you've found a DNS problem.
- Hunt for rogue switches under desks and behind printers. Every one you find is a suspect.
When is it time to escalate?
Escalate when the problem is intermittent, when it affects revenue-touching tools like phones and video calls, or when the basics above don't resolve it in a day of trying. Intermittent problems especially are not solvable by rebooting — they require monitoring over time, wireless surveys that map coverage and interference room by room, and traffic analysis.
